Executive Assistant

General Description:
The Executive Assistant enhances the executive director’s effectiveness by providing fund development and administrative support and representing the executive director and agency to others. The professional in this position plays an important role in carrying out Housing Families
First’s mission of providing families with the tools to achieve housing stability and establishing the agency as a regional leader in helping families end their homelessness.

Supervised by: Executive Director       Classification: Exempt

Responsibilities include, but are not limited to the following:
• Articulates the agency’s mission and message in a clear, compelling way that inspires others to positively engage with and support the agency’s programs;
• Manages and maximizes the executive director’s time by reading and researching correspondence; drafting letters and presentations; and initiating communications.
• Promotes community investment in the agency by arranging strategic tours, events, meetings and/or introductions with key constituencies, including donors, funders, and partners.
• Represents the executive director by attending meetings and speaking for the executive director in her/his absence.
• Supports achievement of agency fundraising targets by drafting and making final edits to grant proposals and reports; packages and submits grant proposals.
• Helps agency grow its Annual Fund and prepare for a Capital Campaign by fully utilizing the donor database (eTapestry) to capture donor information, interests and contacts and to create donor cultivation, retention, and giving reports.
• Enhances donor experience and supports achievement of agency objectives by drafting donor stewardship plans using established templates; collaborates with executive director to implement stewardship plans.
• Provides current information and opportunities for supporter engagement by updating agency website with content consistent with agency’s brand and message.
• Ensures sound management and protection of assets by working with agency contractors and vendors to administer agency finances, insurance coverage, personnel files, and employee benefits.
• Provides historical reference by developing, improving, and utilizing filing and retrieval systems; recording meeting minutes and discussions.
• Maintains the executive director’s appointment schedule by planning and scheduling meetings and calls.

Qualifications:

Education
Bachelor’s degree in business administration or related field, or equivalent education plus substantial professional experience; at least 5 years of relevant professional experience in addition to educational requirements preferred.

Language Skills
• Excellent written and oral communication skills imperative.
• Ability to write and edit clear, compelling correspondence, proposals, informational documents, and reports.
• Ability to respond to inquiries or complaints from donors, agency partners, vendors, businesses, and members of the community.

Skills and Abilities
• Demonstrated understanding of or experience in nonprofit or human services organizations.
• Ability to pay attention to the minute details of projects or tasks to assure integrity of materials and credibility of the agency.
• Ability to interact professionally and compassionately with all levels of the community, including program participants, Board members, funders and donors, and members of press and media.
• Ability to serve both as a team leader and in a support role on a team.
• Impeccable judgment as to when to act independently and when to consult with/inform the executive director and/or other agency staff.
• Ability to schedule and manage varied projects and meet all deadlines.
• Ability to use full Microsoft Office suite, Google documents and forms, and standard donor database (eTapestry).

Compensation: Commensurate with experience; Benefits include paid sick leave and vacation, group health insurance, and option to participate in a tax-deferred annuity.
